Scope of Services
Event Planning and Management
Primary Planning Partner
Stratus Firm acts as the primary planning partner and lead planning and logistics for staffing, vendors, attendees, ancillary events, lodging, food & beverage, and more.
Main Point of Contact
Stratus is the main point of contact for all vendors, and related parties.
Scope Management
The firm is responsible for managing event staff on-site, developing the project timeline, coordinating production schedules, coordinating overall floor plans, and reviewing and finalizing non-production/non-broadcast vendor proposals.
Ancillary Event and Guest Logistics
Stratus is responsible for the planning and management of various sub-events:
- Friday Night Gala: Manage logistics, oversee catering (including menu selection and rentals oversight), work with HFX on seating and check-in, and oversee all guest movements to the dinner.
- Saturday Night Dinner: Source and oversee venue management for approximately 20 different restaurants, finalize all menus, coordinate guest drop-off and pick-up with the transportation team, and determine the staffing plan.
- Sunday Morning 5K: Work with the security team to determine the route and staff the water bottle handout/greeting
- Spousal Program: Work with HFX and local partners on the Saturday Spousal Program plan.
- Air Charter: Provide and manage logistical support for the round-trip Air Canada Charter flight from Washington, DC, including shuttle transportation to the airport and flight registration.
