About the Event

Over two unforgettable evenings, the 2026 NavyFed Annual Awards & Gala transformed recognition into an experience worthy of the people being celebrated. Inspired by the timeless elegance of the “Golden Age Glamour” era, the event welcomed guests into a world of rich deco-inspired design, elevated hospitality, and immersive entertainment, all centered around NavyFed’s defining theme: “Celebrating Our Very Best.” Friday evening honored excellence across the organization through the Cobb Awards, Leadership Excellence Awards, and Service Excellence Awards, recognizing individuals whose impact, leadership, and dedication continue to shape the organization’s culture and success.

The evening opened with a high-energy dance number inspired by the spectacle and theatricality of the Tony Awards. Saturday’s celebration elevated the experience even further with the presentation of the Lockard Award, the President’s Award, and the Gala Wall of Fame induction moments. Behind the stage, guests discovered a hidden speakeasy lounge where a live band carried the energy late into the evening, creating an unexpected layer of intimacy and celebration within the grandeur of the gala itself. Across both nights, the event balanced sophistication, storytelling, and high-touch experiential design to create a celebration that felt both iconic and deeply personal for the NavyFed community.

Scope of Services

Project Management

  • Use of web-based project management software, including a comprehensive timeline of deliverables.
  • Reporting on project updates and scheduling and managing meetings with the NavyFed team.
  • Logistics preparation, stakeholder updates, and quality control reports.
  • Hiring of additional vendors and contractors as agreed.

Venue Logistics Preparation

  • Involves logistics, production, programming, attendee engagement, and speaker experience.
  • Creating and managing updates to the overall event timeline to ensure smooth event flow.
  • Coordinating production schedules and overall floor plans of all event spaces and offsite venues.
  • Negotiating final contracts with selected venues and vendors.

Budget Management & Tracking

  • Creating, managing, and tracking event budgets with input and oversight from NavyFed.
  • Tracking payment deadlines and facilitating all vendor invoicing and payment.
  • Continually updating the budget to reflect approved costs and expenses.

Event Discovery & Development

  • Working with the client team to identify event timelines, themes, guest experience, event and set design, additional concepts, tone, and flow.
  • Working to enhance the event schedule to meet the desired guest experience.
  • Collaborating with the client team on guidance, input, and oversight on the design, planning, and implementation of the entire program vision for all production aspects.
  • Consulting on guest seating and placement alongside the client and importing all guest seating into seating software.

Hospitality & Food & Beverage Management

  • Catering management, including gala dinner needs, ancillary attendee needs, and green room setups.
  • Compiling menu and vendor information needed for program collateral.
  • Coordinating food, beverage, and alcohol vendors while ensuring compliance with applicable laws and regulations.

Pre-Event Vendor Talent Services

  • Providing non-production vendor services, including RFP processes, contract drafting, and contract review.
  • Liaising with VIPs, principals, and talent staff and security to ensure all needs are met.
  • Sending instruction packets/briefings to program participants/talent confirming all event details.

On-Site Logistics Management

  • Coordinating production schedules and overall floor plans of all event spaces.
  • Managing the day-of-event timeline to ensure smooth event flow while in motion.
  • Acting as the primary liaison for venues, vendors, and on-site teams.
  • Managing and overseeing load-in and setup of decor, stage sets, etc., for activations and installations.
  • Resolving challenges swiftly during critical moments.

Programming & Show Production

  • Strategic oversight of all audiovisual and show production elements, including technical direction, vendor management, show flow development, and onsite execution strategy.
  • Development and management of comprehensive run-of-show documentation, cueing structures, and stage operations to ensure every moment lands with clarity, precision, and impact.
  • Leadership of live show execution through dedicated stage management, show calling, backstage coordination, and real-time problem solving in high-pressure environments.
  • End-to-end management of speaker logistics and show content, including briefing development, presentation coordination, green room hospitality, rehearsals, and backstage operations.
  • Creative and technical collaboration with clients and production partners on content integration, multimedia storytelling, and presentation assets to create dynamic, audience-centered experiences.
